Before ordering, confirm the tag’s finished size, shape, card, printed sides, quantity, versions, finishes, hole position, attachment, artwork and required delivery date. Review the proof against the physical product and assign one person to approve the final specification.

Product specification

  • Finished width and height are stated in millimetres.
  • Shape, corner treatment, folds and perforations are identified.
  • Card stock or required performance is agreed.
  • Single- or double-sided printing is confirmed.
  • Quantity and number of artwork versions are correct.
  • Lamination, foil, Spot UV, embossing or other finishes are listed.

Attachment and use

  • Hole diameter and position are marked.
  • String, ribbon, elastic, chain or eyelet type is specified.
  • Supplied loose, looped, tied or fully attached status is clear.
  • The tag has been checked against the product for scale and placement.
  • Durability is appropriate for transport, display and handling.

Artwork pre-flight

  • Artwork matches the finished dimensions.
  • Bleed and safe areas are present.
  • Colour mode and any named spot colours are correct.
  • Images are suitable for their printed size.
  • Fonts are embedded or outlined.
  • Barcodes and QR codes have been tested at final size.
  • Special finishes are separated and clearly named.

Approval and delivery

  • Prices, product codes, contact details and URLs are proofread.
  • One final artwork file and proof are approved.
  • Delivery address and contact number are complete.
  • The required arrival date has been discussed before production.
  • Packing or fulfilment teams know how tags will be supplied.

Decision context

Approve the commercial, physical and artwork records together

The commercial record should state quantity, number of versions, delivery destination and required arrival date. The physical record should state finished size, shape, stock, printed sides, finish, hole, fold or perforation, attachment and whether any components arrive loose or fitted.

The artwork check covers copy, prices, contact details, colour setup, fonts, images, bleed, safe areas and production layers. Test barcodes and QR codes at final size. For variable output, confirm the authoritative data file, record count, leading zeros, duplicates and representative extremes.

Compare the proof with the written specification and a physical sample where material, colour or feel matters. A screen cannot demonstrate stiffness, metallic reflection, gloss, relief or exact stock colour. Record who approved the final version and when production may begin.

Keep the approved PDF, native source, data and specification under one job reference. For a reorder, identify what has changed rather than assuming every previous material or process remains available. This final check protects consistency across design, production, packing and delivery.
