How to Control Multiple Swing Tag Versions
Use one controlled master specification, a structured version list and a single approval owner. Separate fixed artwork from variable product data, give every supplied file and proof a unique revision identifier, and reconcile the final quantity for each version before production. Email filenames alone are not a reliable version-control system.
Control the records that can change
Most version errors occur because artwork, product data and quantity information are updated independently.

Separate fixed design from variable information
Identify which elements remain the same across the range and which change by SKU, colour, size, price, market or language. Use a consistent field structure and avoid manually copying values into unrelated artwork files when a controlled data workflow is appropriate. Keep field names understandable to both product and artwork teams.
Create an approval record that can be audited
Each proof should show its revision and the versions it represents. Approval should confirm artwork, data, quantity and production specification, not only visual appearance. When a late change is made, issue a new proof and state exactly which prior revision it replaces.
Preserve the record for repeat orders
Store the final approved artwork, data file, proof and quantity breakdown together with the order reference. At reorder, compare current product data against that record rather than assuming it remains valid. Prices, codes, regulatory copy and web destinations can change even when the visual design is unchanged.
